Within the IT industry, where support exists for ERP Software to generate emails on behalf of a company, then it’s quite common to rely upon the existing email infrastructure of the business.
This is generally done via a service known as an email relay, and it provides the highest degree of certainty that the email will reach its recipient during the current day and age of email providers employing measures to prevent spam.
Your ACR software is no different, and would already be configured to make use of such a relay service - this would have been handled in the distant past by your IT team and ACR Tech support.
When your ACR system sends an email out, such as customer statements & invoices or supplier orders, the software prepares the email and any accompanying attachments to pass over to the relay.
At that point the mail relay takes responsibility for onward transmission of the email and providing any subsequent updates on the success (or failure) of reaching the recipient, or whether it’s been held up - all of which can occur much later.
Failures can come about for a myriad of reasons, usually outside of your staff and the software’s control, like the recipient’s security setup, issues on downstream servers or the end-point simply not recognising the email address.
A new real-time monitoring program has been developed called the “Email Log”. It will allow your staff to pro-actively check on the status of emails sent from the system, allowing them to identify failures and address as required.
Further to the above, a nightly automated process will run to identify any emails that have failed, and advise your staff of the fact.
The crucial benefit of this is likely self-evident and wide-ranging - if a customer is not getting a statement for any reason, you want to know about it before it’s overdue, should a supplier not receive an order, you want to know about it as soon as possible, prior to running out of stock.
Having been deployed in the course of January 2025, the Email Log is active and available in your system today - in fact , we’re pleased to have already received feedback from ACR customers that it has proved effective.
